Privacy Policy

1. Introduction

Staxivo (“Staxivo,” “we,” “us,” or “our”) provides premium downloadable Excel templates through our website, built on WordPress and WooCommerce, to customers worldwide. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you have regarding it.

This policy applies to all visitors, customers, and users of our website and related services (collectively, the “Site”). By using the Site, you acknowledge that you have read and understood this policy. If you do not agree with our practices, please do not use the Site.

We are committed to handling personal information responsibly and in line with recognized international privacy principles, including the General Data Protection Regulation (GDPR), the UK GDPR, and the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA), to the extent these laws apply to you.

2. Information We Collect

We collect information in the following ways:

2.1 Information You Provide Directly

  • Account information: name, email address, username, and password, if you create an account.
  • Order and checkout information: billing name, email address, billing address, and country, collected when you purchase a product.
  • Contact form submissions: name, email address, and the content of any message you send us.
  • Customer support correspondence: any information you provide when contacting us for help.

2.2 Information Collected Automatically

  • Technical data: IP address, browser type, device type, operating system, and general location (such as country or city) inferred from your IP address.
  • Usage data: pages visited, links clicked, time spent on the Site, and referring/exit pages.
  • Cookie and tracking data: as described in Section 5.

2.3 Payment Information

We do not directly collect or store full payment card details. Payments are processed by third-party payment processors integrated with our WooCommerce store, who collect and handle payment information under their own privacy and security standards. See Section 7 for details.

2.4 Information We Do Not Intentionally Collect

We do not knowingly collect sensitive categories of personal data (such as health, biometric, or financial account credentials) beyond what is necessary to process a standard e-commerce transaction.

3. How We Use Your Information

We use the information we collect to:

  • Process, fulfill, and deliver digital product orders.
  • Create and manage customer accounts.
  • Provide customer support and respond to inquiries submitted via contact forms or email.
  • Send transactional communications, such as order confirmations and download links.
  • Send marketing communications where you have consented, or where otherwise permitted by law (see Section 9).
  • Maintain, secure, and improve the functionality and performance of the Site.
  • Monitor for and prevent fraud, unauthorized access, and abuse of our services.
  • Comply with legal obligations, resolve disputes, and enforce our agreements and policies.

We do not use your personal information for any purpose incompatible with those listed above without providing you notice and, where required, obtaining your consent.

4. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area (EEA) or United Kingdom, we process your personal information under the following legal bases:

  • Contractual necessity: to process orders, deliver digital products, and manage your account.
  • Legitimate interests: to secure the Site, prevent fraud, and improve our products and services, provided these interests are not overridden by your rights.
  • Consent: for marketing communications and non-essential cookies, which you may withdraw at any time.
  • Legal obligation: where processing is required to comply with applicable law, such as tax and accounting requirements.

5. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate and improve the Site. Cookies are small text files stored on your device.

5.1 Categories of Cookies We Use

  • Essential cookies: required for core functionality, including shopping cart operation, checkout, account login, and security. These cannot be disabled without affecting Site functionality.
  • Functional cookies: remember your preferences to improve your experience.
  • Analytics cookies: help us understand how visitors use the Site, as described in Section 6.
  • Marketing cookies: used only where you have provided consent, to support relevant communications.

5.2 Managing Cookies

You can control or disable cookies through your browser settings. Where required by law, we will request your consent before placing non-essential cookies and provide a mechanism to manage your preferences.

6. Analytics and Third-Party Services

We may use third-party analytics services to help us understand Site traffic and usage patterns. These services may collect information such as pages visited, time on Site, and general geographic location, typically through cookies or similar technologies.

Analytics providers process this data on our behalf and under their own privacy and security practices. We use aggregated or pseudonymized analytics data wherever possible and do not permit analytics providers to use Site data for their own independent marketing purposes.

7. Payment Processing

All payments are handled by third-party payment processors integrated with our WooCommerce checkout system. These processors independently collect, store, and process payment card and billing information in accordance with their own privacy policies and applicable payment industry security standards.

We do not store full payment card numbers on our servers. We may retain limited transaction metadata (such as order amount, order date, and payment status) for accounting, fraud prevention, and customer support purposes.

8. Digital Product Delivery

Our products are downloadable Excel templates delivered electronically following successful payment. To deliver your purchase, we use your order and account information to:

  • Generate secure download links or access credentials.
  • Send purchase confirmation and download instructions by email.
  • Maintain a record of your purchase history for support and re-download purposes, where applicable.

We recommend downloading and safely storing your purchased files, as download access may be time-limited or attempt-limited as described in our separate Refund Policy.

9. Marketing Communications

We may send you promotional emails about new templates, offers, or updates if you have opted in to receive them, such as during checkout or through a newsletter sign-up.

You may unsubscribe at any time using the link included in every marketing email, or by contacting us directly at support@staxivo.com. Transactional communications, such as order confirmations and support responses, are not considered marketing and cannot be opted out of, as they are necessary to provide our services.

We do not sell your personal information to third parties for their own marketing purposes.

10. Data Sharing and Disclosure

We do not sell your personal information. We may share personal information only in the following circumstances:

  • Service providers: with payment processors, email delivery services, hosting providers, and other vendors who perform functions on our behalf, under confidentiality and data protection obligations.
  • Legal compliance: where required to comply with applicable law, regulation, legal process, or governmental request.
  • Protection of rights: to enforce our policies, protect our rights and property, or protect the safety of our users or others, including in cases of suspected fraud or abuse.
  • Business transfers: in connection with a merger, acquisition, restructuring, or sale of assets, subject to appropriate confidentiality safeguards.

11. International Data Transfers

As we serve customers worldwide and use service providers that may operate in different countries, your personal information may be transferred to, stored, and processed in countries other than your own, including countries that may have different data protection laws.

Where such transfers involve personal information originating from the EEA, UK, or other regions with cross-border transfer restrictions, we rely on appropriate safeguards recognized under applicable law, such as standard contractual clauses or equivalent mechanisms, to help ensure your information receives an adequate level of protection.

12. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes described in this policy, including:

  • Order and account records, for as long as needed to provide support, handle disputes, and comply with tax, accounting, and legal obligations.
  • Marketing contact information, until you unsubscribe or withdraw consent.
  • Technical and analytics data, in a form that does not identify you personally, for longer periods to support Site improvement.

When personal information is no longer necessary for these purposes, we take reasonable steps to delete, anonymize, or securely archive it.

13. Your Privacy Rights

Depending on your location, you may have some or all of the following rights regarding your personal information:

  • Access: request a copy of the personal information we hold about you.
  • Correction: request correction of inaccurate or incomplete information.

To exercise any of these rights, contact us at support@staxivo.com. We will respond within the timeframe required by applicable law and may need to verify your identity before fulfilling certain requests.

14. Data Security

We implement reasonable technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction, including secure transmission protocols, access controls, and routine security monitoring of our Site and systems.

However, no method of transmission or storage is completely secure. While we work to protect your personal information, we cannot guarantee absolute security, and any transmission of information is done at your own risk.

15. Children’s Privacy

Our Site and products are intended for business and professional use by adults. We do not knowingly collect personal information from children under the age of 16. If we become aware that we have inadvertently collected such information, we will take reasonable steps to delete it promptly.

16. Third-Party Links

Our Site may contain links to third-party websites, tools, or services that are not operated by us. We are not responsible for the privacy practices or content of these third parties. We encourage you to review the privacy policies of any third-party site you visit.
